Two Rounds, Two Boys, One Phone: Sharma Milk Centre

Sunita Sharma took over her family's milk centre in Jaipur four years ago. Two hundred and forty customers, two delivery rounds a day, two staff on cycles.

Her problem was not billing or khata. It was the gap between the round and the register.

Bills that never came back

"The boy takes twenty bills out in the morning. Eighteen come back. Where are the other two?" she says. "Maybe the customer kept it. Maybe it was lost. Maybe they paid cash and it did not reach me. I could never tell which."

Two missing bills a day does not sound like much. Over a month it was consistently a few thousand rupees she could neither account for nor chase, because she did not know which customers they belonged to.

Reconciling the round took about forty-five minutes each evening, mostly spent matching a stack of paper against a register.

What changed

Sharma Milk Centre started with BillBaazar in January, using the delivery driver features from the first week.

Each bill is assigned to the delivery person who takes it. When a receipt comes back signed, it is ticked off on the phone — and the screen shows, at a glance, which bills are still out, filtered by round and by date.

"Now I can see it before I open in the morning. Fifteen came back, five did not, and I know exactly which five houses."

The visibility changed behaviour on its own. "When the boys knew I could see it, the ones going missing mostly stopped going missing."

The numbers

Unreturned receipts fell by about ninety-five per cent. The evening reconciliation went from forty-five minutes to roughly five. The rest is unchanged — same rounds, same staff, same cycles.

"I did not need a bigger system. I needed to know which bills came back. That was all."
