Ramesh Patil has run a dairy in Pune for nineteen years. He supplies about 180 households across two morning rounds, plus four tea stalls that buy at wholesale rates.

The billing was never really the problem. Collecting was.

The first week of every month

"Every month, the first week was gone," Ramesh says. "I would sit with the register after closing and add up each customer. One hundred and eighty of them. Then I would go house to house, and half the time somebody would say the number is wrong."

Those disputes were rarely about dishonesty. A customer who took two litres most days but three on Sundays had no way of checking the total, and neither did Ramesh — not without redoing the addition in front of them at the door.

The rate change in March made it worse. Milk went up by two rupees mid-month, and every single customer asked the same question. He had no clean way to show which days were billed at which rate.

What changed

Three things changed the outcome, and none of them were about billing speed.

The ledger records the rate, not just the total. When the rate moved again in June, the statement showed it line by line. "Nobody argued. They could see the old rate until the 14th and the new rate after. That was the end of it."

Statements go out by WhatsApp on the 1st. Instead of walking to each house to explain a number, Ramesh sends a PDF everyone can read at their own pace.

The delivery round is tracked. Both his boys' bills are assigned to them, and the receipts that come back signed are ticked off before he opens the shop.

The numbers

Collection now finishes in about four days rather than three weeks. The six hours a month he spent on khata arithmetic is gone entirely — the ledger is already added up. Disputed bills have dropped by roughly ninety per cent.

The part he mentions first, though, is none of those.

"I get my evenings in the first week of the month back. That is what I noticed. My wife noticed it before I did."
